FAQ Secure Data Services
Can you help us determine the level of security to apply?
We can provide a template to help you carry out an internal risk assessment to select the security arrangements most appropriate to your business and resources.
How often do you collect?
The frequency of our collections is entirely flexible to suit your business needs. We can carry out regular collections and annual clear outs as required.
Do you use dedicated vehicles?
To provided added security we use vehicles dedicated only to confidential data collections which are kept locked at all times. They are branded with the Changeworks Recycling colours to avoid drawing specific attention to the vehicle contents.
Do your staff carry identification?
All our staff, who have undergone comprehensive security vetting, wear Changeworks Confidential uniforms and carry personal identification.
What types of documents should we destroy?
Probably more than you think. We have a detailed checklist we can supply, but as a minimum:
Paper based:
Financial records, management accounts bank statements, credit card slips, payslips, payroll print outs, proposals and quotations, contracts and agreements, tax returns, pension statements, personnel records, customer and prospect lists.
IT Equipment:
PC and laptop hard drives, mobile phones, SIM cards, facsimile machines, monitors* .
What happens to the confidential paper?
The paper is shredded in accordance with UKSSA2 standards in our central warehouse under CCTV surveillance. The shredded material is then baled for recycling.
What happens to the IT equipment you collect?
Changeworks Confidential works in partnership with a specialist IT equipment recycling company based in Grangemouth. The IT equipment collected from your business will be dismantled and recycled under an appropriate SEPA licence. The hard drives from any equipment will be physically destroyed rendering the data inaccessible.
Metal, glass and plastics will be baled and sent for recycling while electronic components and circuit boards will be melted down and any precious metals recovered.
How do I know my documents have been securely shredded?
On collection, our driver will record on a handheld computer the number of bags that have been collected on that date. This information then appears on your monthly statement. The driver will also provide a receipt to show how many bags have been collected.
Back at our premises the shredding process is carried out to UK Security Shredding Association (UKSSA) standards. If required, we can supply a certificate of destruction.
Do you offer an on-site shredding process?
No. Shredding is securely carried out off-site. The process is recorded by CCTV in our secure facility and supervised by vetted staff.
This process guarantees secure destruction at the lowest cost to you. It also offers the greatest level of flexibility in terms of material volume and is easier for staff to manage.
I have lots of confidential documents stored in lever-arch files. Can these files be recycled along with the documents?
Yes, provided they are in suitable archive boxes or transferred to secure collection sacks.
I have lots of confidential documents stored in archive boxes. Can these be uplifted as they are?
Yes. This is a common method of collection, which makes dealing with your confidential archives as simple as possible.
